Vendor Application

We are currently seeking Artisans and Food Vendors to participate in the Downtown Block Party, taking place on Saturday, August 1, 2026, from 10:00 a.m. to 4:00 p.m. on Young Street, Capreol. This year, we will also have the opportunity to have a few vendors set up for Saturday August 1 and Sunday August 2, 2026 outside of the Capreol Arena.

Downtown Capreol will be filled with some of the best local makers, artisans, and vendors in the region. The Capreol Arena and Surrounding Ball Fields will be filled with Kids Activities as well as the Annual Ball Tournament. This well-attended event attracts thousands of visitors each year and provides an excellent opportunity to showcase your talents and grow your business.

General Information

  • This is a Rain or Shine event.

  • Vendors who cancel, fail to attend, or are removed from the event for violating this agreement will not receive a refund

 

Application Process

  • Application Deadline: Friday, March 20

  • Successful applicants will be notified via the email address provided no later than April 1.

  • Submission of this application does not guarantee acceptance.

  • Do not submit payment until you have received your official confirmation email.

  • To ensure a diverse and unique marketplace, some vendors may not be accepted due to product duplication.

  • Priority will be given to Capreol residents and small businesses; however, all are encouraged to apply. 

 

Fees & Submission

  • All vendor fees must be paid in full by: June 1, 2026

  • All applications must be submitted online to: capreoldays.ca

 

Scam Warning

Please be aware that vendor scams are circulating on social media.

Only correspondence from the Capreol Days Committee (capreoldays@gmail.com) or Tiffany Orford, Vendor & Downtown Coordinator, is legitimate.

Do not send payments to anyone other than capreoleventscommittee@gmail.com.

 

Insurance & Permits

  • All vendors must carry Commercial General Liability Insurance with a minimum coverage of $2 million, naming The City of Greater Sudbury as an additional insured.

  • Proof of insurance must be submitted no later than July 10, 2026.

  • Food vendors must also provide a copy of their Special Event Food Permit issued by the Sudbury & District Health Unit no later than July 10, 2026

 

Vendor Spaces & Setup

  • Vendor fees cover space only.

  • Electricity is not available on-site.

  • This is an outdoor event. Canopies are strongly recommended.

  • Vendors must bring sandbags or weights for tents. Ground pegs are not permitted.

  • Tables and chairs are not provided.

  • Artisan/Regular Vendor spaces are 10x10.

  • Food Vendor spaces are 10x15.

  • Displays must not exceed the allotted space.

 

Conduct & Sales

  • Vendors must conduct themselves respectfully toward event organizers, fellow vendors, and attendees.

  • Vendors found in violation may be asked to leave immediately and may be barred from future events.

  • Selling or sampling outside your designated booth space is not permitted. 

 

Food Vendor Requirements

  • Food vendors using heat or open flame must:

    • Use flame-retardant tents

    • Have a current fire extinguisher on-site

  • Food vendors are responsible for the proper disposal of grey water and grease.

  • Do not dispose of waste into drains, grass, or soil.

  • Violators are responsible for any fines issued by the City of Greater Sudbury or the Ministry of Natural Resources.

 

Setup & Parking

  • Setup begins at 7:30 a.m. on Saturday morning.

  • A vendor map will be emailed in advance.

  • Capreol Days volunteers will be available to assist you with finding your spot.

  • All vehicles must be unloaded and removed from Young Street by 9:00 a.m.

  • Once roads are closed, access will not reopen until after 4:00 p.m.

  • Early Tear Down will Not be permitted.

  • Additional information regarding Vendor parking and setup/tear down procedures will be provided with Vendor Map. 

 

There will be no last-minute changes, accommodations, or exceptions, regardless of past participation.

Vendor Fees

  • Artisan / Regular Vendor (10x10): $60 One Day, $100 Two Days

  • Non-Profit Organization (10x10): $40

  • Food Vendor (10x16 or 10x20): $200 One Day (Downtown Only), $350 Two Days (Arena Area Only)

 

Food Vendors participating in Food Truck Wars: $350 One Day
